ELFBAR CARES Privacy Notice and Content & Likeness Authorization
This Privacy Notice explains how personal information is collected, used, stored, shared and protected when you participate in the ELFBAR CARES campaign, including when you submit videos, photos, captions, written stories, social media links, contact details or other campaign materials through the campaign page.
This campaign is intended only for adults who meet the legal age requirement in their country or region. If you do not meet the legal age requirement, please do not participate in this campaign or submit any personal information.
This Privacy Notice explains how you authorize ELFBAR to use your submitted content, image, voice, likeness, name, nickname, social media handle, story and other submitted materials for ELFBAR CARES and related brand communication, promotional, advertising, commercial, public relations, event, exhibition and internal or external communication purposes.
1. Short Notice Before Submission

By submitting your information or campaign content, you confirm that:
You meet the legal age requirement in your country or region.
The information you provide is accurate.
The content you submit is your own, or you have obtained all necessary permissions.
Your submission does not include anyone who does not meet the legal age requirement.
You have read and understood this Privacy Notice.
You understand that ELFBAR may collect and use your personal information for campaign management, submission review, eligibility checks, campaign-related communications, reward fulfilment where applicable, compliance, reporting and other purposes described in this document.
You have read and agree to the Content & Likeness Authorization sections in this document.
You authorize ELFBAR and its authorized partners to use, edit, adapt, publish, display, distribute and otherwise feature your submitted content, image, voice, likeness, name, nickname, social media handle and story for ELFBAR CARES and related brand communication purposes, including commercial use, worldwide, royalty-free, permanently, and including use in exhibitions and brand events such as Dubai Expo 2026, to the maximum extent permitted by applicable law.
2. What Information We Collect
When you participate in the ELFBAR CARES campaign, the following categories of personal information may be collected.
2.1 Information You Provide
Name, nickname or preferred display name
Email address
Country or region
Age confirmation or legal-age eligibility confirmation
Social media handle, profile link or submitted post link, if provided
Campaign topic, participation category or submission type
Uploaded video, photo, caption, written story or other campaign content
Check-in records, if you participate in a check-in activity
Any message, comment, description or other information you choose to submit
2.2 Image, Voice and Likeness Information
If your submission includes a video or photo, personal information that appears in or is connected to that content may be collected, such as:
Your image, face or likeness
Your voice
Your appearance, gestures or other identifiable features
Your name, nickname, social handle or other identifying details included in the submission
Background information visible or audible in your submitted content
Please do not submit content that includes other people unless you have obtained all necessary permissions from them. Please do not submit content that includes minors or anyone who does not meet the legal age requirement.
2.3 Campaign Administration Information
Information related to your participation may also be collected or generated, such as:
Submission date and time
Submission review status
Selection status
Reward eligibility and fulfilment records, where applicable
Communication records related to your participation
Moderation, compliance or review notes
Consent and authorization records
2.4 Technical and Website Information
When you access or use the campaign page, certain technical information may be collected, such as:
IP address
Device type
Browser type
Operating system
Page interaction data
Cookie or analytics information, where applicable
Approximate location derived from technical data, where applicable

3. Why Your Information Is Used
Your personal information may be used for specific campaign-related purposes, including:
To receive, register and manage your campaign submission.
To confirm legal-age eligibility and prevent underage participation.
To review, moderate and select submitted content.
To contact you about your submission, review status, selection status, campaign updates or rewards.
To manage check-in records, if applicable.
To arrange reward fulfilment, if applicable.
To process withdrawal, correction, deletion or content removal requests.
To verify that submissions comply with campaign requirements and applicable laws.
To prevent fraud, misuse, unlawful activity or non-compliant participation.
To maintain campaign records, consent records and compliance records.
To analyze campaign performance and improve future ELFBAR CARES activities.
To produce aggregated or anonymized campaign reports.
To comply with legal, regulatory, audit, compliance or dispute-handling requirements.
To use selected submissions, where authorized, in ELFBAR CARES-related brand communications, including campaign pages, websites, social media channels, PR materials, internal or external presentations, advertising and promotional materials, exhibitions, events and brand activities, including Dubai Expo 2026.
To edit, adapt, translate, subtitle, format, publish, display, distribute or otherwise feature selected submitted materials in connection with ELFBAR CARES and related brand communications.
Your submitted image, video or voice will not be used for facial recognition, biometric identification or automated identity verification unless a separate notice is provided and any consent required by applicable law is obtained.
4. Campaign-Related Communications
ELFBAR may contact you by email or other contact information you provide for purposes necessary to manage your participation in the ELFBAR CARES campaign.
These campaign-related communications may include:
Submission confirmation
Eligibility or legal-age confirmation
Content review or moderation updates
Selection or non-selection notices
Requests for additional information
Reward fulfilment notices, where applicable
Content authorization or publication coordination
Consent withdrawal, data rights or content removal request updates
Other communications necessary to operate the campaign
These communications are related to your participation in the campaign. They are not intended to be unrelated promotional marketing communications. ELFBAR will only send unrelated promotional marketing communications where permitted by applicable law and, where required, with separate consent.
5. Purposes and Legal Bases for Processing
Where applicable data protection laws require a legal basis, personal information may be processed based on one or more of the following grounds: consent, participation in the campaign, legitimate interests, or legal obligations.
Personal information may be processed to manage your participation in the ELFBAR CARES campaign. This includes receiving and registering your submission, confirming your participation details, reviewing your submitted materials, contacting you about your submission, and managing campaign-related communications. The information used for these purposes may include your name, email address, country or region, participation category, submission details, communication records and review status. The legal basis may include your participation in the campaign and ELFBAR’s legitimate interests in operating and managing the campaign.
Personal information may also be processed to confirm legal-age eligibility and prevent underage participation. This may include your age confirmation, country or region, and eligibility declaration. The legal basis may include legal obligations, legitimate interests, and consent where required by applicable law.
Submitted videos, photos, captions, stories, social media links and related review notes may be processed to review, moderate and select campaign submissions. This processing is necessary to ensure that submissions comply with campaign requirements, applicable laws and content standards. The legal basis may include legitimate interests and consent where required.
If rewards apply, contact details, reward records and fulfilment information may be processed to arrange reward communication and fulfilment. The legal basis may include participation in the campaign and legal obligations where applicable.
Consent records, submission records and authorization records may be processed and retained to demonstrate compliance with campaign requirements, privacy obligations and applicable laws. The legal basis may include legal obligations and legitimate interests.
Where selected content is used for ELFBAR CARES-related brand communications, advertising, promotional, commercial, public relations, event or exhibition purposes, such processing and use will be based on your authorization under this document and, where required by applicable law, your consent. This may involve the use of selected videos, photos, image, voice, likeness, captions, stories, nickname, name or social media handle.
Where selected content is featured or used for ELFBAR CARES-related brand communications, this will only take place where separately authorized through the Content & Likeness Release. This may involve the use of selected videos, photos, image, voice, likeness, captions, stories, nickname or social media handle. The legal basis may include consent and the separate Content & Likeness Release.
Personal information may also be processed to prevent misuse, fraud, unlawful activity or non-compliant participation. This may include submission records, technical data, moderation notes and related compliance records. The legal basis may include legitimate interests and legal obligations.
Aggregated or anonymized campaign data and page interaction data may be processed to analyze campaign performance, improve future ELFBAR CARES activities and prepare campaign reports. The legal basis may include legitimate interests, and consent where required for cookies or similar technologies.
Relevant records, communications and compliance documents may also be processed where necessary to comply with legal, regulatory, audit, compliance or dispute-handling requirements. The legal basis may include legal obligations and legitimate interests.
6. Content and Likeness Authorization
By submitting your materials and accepting this authorization, you grant ELFBAR, its group companies, affiliates, authorized partners, agencies, service providers, production teams, media partners, successors, licensees and permitted assigns a worldwide, perpetual, royalty-free, fully paid-up, transferable and sublicensable right and license to use your submitted materials for ELFBAR CARE and related brand communication, promotional, advertising, commercial, public relations, event, exhibition and internal or external communication purposes.
This authorization applies to all materials and information you submit, upload, provide or make available in connection with the ELFBAR CARES campaign, including videos, photos, captions, written stories, spoken statements, audio recordings, social media posts or links, name, nickname, preferred display name, social media handle, image, face, voice, likeness, appearance, gestures and other identifiable features.
This authorization includes the right to use, reproduce, copy, publish, display, distribute and communicate the submitted materials to the public. It also includes the right to edit, crop, adapt, format, translate, subtitle, dub, retouch, modify or create derivative works from the submitted materials.
ELFBAR may combine submitted materials with other images, videos, sounds, music, graphics, captions, text, layouts, campaign visuals, brand assets or other materials. ELFBAR may use submitted materials in full or in part, alone or together with other content, across different formats, sizes, edits, versions and media placements.
Submitted materials may be used in connection with ELFBAR CARES and related brand communications, including but not limited to campaign pages, ELFBAR-owned websites, ELFBAR-owned social media channels, campaign recap videos, galleries, public relations materials, press communications, brand communication materials, advertising and promotional materials, event materials, exhibition displays, internal and external presentations, sales, channel or trade communication materials, digital, online, offline, printed, video, display and event formats, exhibitions and brand events, including Dubai Expo 2026.
ELFBAR may decide whether, where, when and how to use the submitted materials. Submission does not guarantee that your materials will be selected, published, displayed, rewarded or used.
Unless otherwise stated in the campaign page or separate written communication, you understand and agree that you will not receive any additional payment, royalty, usage fee or compensation for ELFBAR’s use of the submitted materials under this authorization. Any campaign reward, incentive or recognition, if applicable, is separate from and does not limit the rights granted under this authorization.
You retain any rights you own in your original submitted materials. However, by accepting this authorization, you grant ELFBAR the rights described in this document. To the extent permitted by applicable law, you waive and agree not to assert any moral rights, inspection rights, approval rights or similar rights that may prevent ELFBAR from using the submitted materials as authorized under this document.
ELFBAR will not intentionally use submitted materials in a way that materially misrepresents your statement or creates a false endorsement beyond the scope of this authorization.
7. Third-Party Rights and Permissions
You are responsible for ensuring that your submission does not violate the rights of any third party.
If your submitted materials include other people, music, logos, trademarks, artwork, locations, private information or third-party content, you confirm that you have obtained all necessary rights, licenses, consents and permissions for ELFBAR to use those materials as described in this document.
ELFBAR may reject, remove or stop using any submitted materials if it believes that the materials may violate this document, campaign requirements, applicable laws, platform rules or third-party rights.
8. Who Your Information May Be Shared With
Your personal information may be shared with:
ELFBAR group companies and authorized internal teams.
Regional marketing, legal, compliance and campaign teams.
Campaign agencies, production teams, moderators and reviewers.
Website hosting providers, cloud storage providers and form submission tools.
Email, communication, analytics and reward fulfilment service providers.
IT, security and technical support providers.
Legal, compliance, audit and professional advisers.
Regulators, authorities, courts or law enforcement bodies, where required by law.
Public audiences, where your submitted materials are selected and used in accordance with this document and the authorization you have provided.
Media partners, event partners, exhibition partners, production partners, advertising partners and other authorized partners involved in ELFBAR CARES-related brand communication, promotional, advertising, commercial, public relations, event or exhibition activities.
Service providers are required to protect personal information and use it only for authorized purposes.
9. International Transfers
Because ELFBAR CARES may involve global and regional teams, your personal information may be transferred to, stored in or accessed from countries or regions outside your own.
Where required by applicable law, appropriate safeguards will be used for international transfers, such as contractual protections, internal data protection controls or other legally recognized transfer mechanisms.
10. How Long Your Information Is Kept
Personal information will be kept only for as long as necessary for the purposes described in this Privacy Notice, unless a longer retention period is required or permitted by law.
As a general rule:
Non-selected raw submissions will be deleted, anonymized or securely archived within 6 months after the campaign ends, unless retention is required for legal, compliance, audit or dispute-handling purposes.
Selected submitted materials may be retained and used for the period permitted under this authorization, including worldwide and perpetual use to the maximum extent permitted by applicable law.
Selected submissions may be retained for the period stated in the applicable Content & Likeness Release or other authorization. Contact and reward fulfilment records may be retained for as long as needed to complete campaign communications, reward delivery, compliance checks and dispute handling.
Age eligibility records, consent records and authorization records may be retained as necessary to demonstrate compliance with campaign rules and applicable laws. Technical logs and analytics data may be retained for a limited period for website operation, security, analytics and performance measurement.
Aggregated or anonymized data may be retained for campaign reporting and analysis, provided it no longer identifies an individual. Records required for legal, regulatory, audit or dispute-handling purposes may be retained for longer where required or permitted by law. When personal information is no longer needed, it will be deleted, anonymized or securely archived according to applicable retention procedures.
11. Your Rights, Consent Withdrawal and Content Removal Requests
Depending on where you live, you may have rights under applicable data protection laws, including the right to:
Access the personal information held about you.
Correct inaccurate or incomplete information.
Request deletion of your personal information.
Withdraw consent where processing is based on consent.
Object to or restrict certain processing.
Request a copy of your information in a portable format.
Ask for an explanation of how your personal information is processed.

Where personal information is processed based on consent, you have the right to withdraw your consent at any time. To withdraw consent, please contact us at elfbarcares@eflbar.com and include the subject line: “ELFBAR CARES Consent Withdrawal”. Please provide the email address used for submission and enough information to identify your submission.
After receiving your request, reasonable steps will be taken to stop processing your personal information for the purposes covered by the withdrawn consent, unless there is another lawful basis to continue processing it.
Withdrawing consent will not affect any processing that took place before the withdrawal. If you withdraw consent, it may no longer be possible to continue reviewing your submission, contacting you about selection, delivering rewards where applicable, or featuring your content.
If your submitted materials have been published or featured as part of the ELFBAR CARES campaign and you later wish to request removal, please contact us at elfbarcares@eflbar.com. Your request will be reviewed and reasonable steps will be taken in accordance with applicable law, platform rules, campaign operation needs and this document.
You understand that withdrawal or removal may not affect uses that took place before the request was received. Full removal may not always be possible where submitted materials have already been published, printed, displayed, archived, distributed, reposted by third parties, included in completed campaign materials, used at events or exhibitions, or otherwise used in materials that cannot reasonably be withdrawn.
The withdrawal of consent under this Privacy Policy shall be separate from and without prejudice to the rights and obligations under the Content and Likeness Authorization provisions of this Agreement.
Identity verification may be required before responding to your request.
12. Security, Cookies and Analytics
Appropriate technical and organizational measures are used to protect personal information against unauthorized access, loss, misuse, alteration or disclosure.
However, no website, online transmission or storage system can be guaranteed to be completely secure. Please take care when choosing what information or content you submit.
The campaign page may use cookies or similar technologies to support website functionality, security, analytics and performance measurement.
Where required by applicable law, a separate cookie notice or consent mechanism will be provided.
13. Children and Underage Users
This campaign is not intended for individuals who do not meet the legal age requirement in their country or region. Submissions from underage individuals are not knowingly collected. If it becomes known that an underage individual has submitted personal information or campaign content, reasonable steps will be taken to delete it. Submissions must not include minors or anyone who does not meet the legal age requirement.
14. Compliance and Moderation
ELFBAR may review, moderate, reject, edit, remove or stop using submitted materials at its discretion, including where the materials do not comply with campaign requirements, include minors or people who do not meet the legal age requirement, include unauthorized third-party content or third-party personal information, may infringe third-party rights, are unlawful, offensive, discriminatory, defamatory, misleading, unsafe or inappropriate, or may create legal, regulatory, compliance, brand safety or reputational risks.
ELFBAR has no obligation to use, publish, display, promote, retain or return any submitted materials. ELFBAR may choose to use all, part or none of the submitted materials and may stop using any submitted materials at any time, subject to campaign needs, legal requirements, platform rules and brand considerations.
15. Changes to This Privacy Notice
This Privacy Notice may be updated from time to time. If material changes are made, the updated version will be made available through the campaign page or other appropriate channels.
